Swiss Re Corporate Solutions Hospitality Suite

We invite you to drop into the Hospitality Suite at any time during your stay to socialize and enjoy light refreshments. Conveniently located in Hall Explore, on the ground floor off the Main Lobby and adjacent to the Artefact Bar and Chez Muffy Restaurant. Our exclusive Hospitality Suite will be where you can find your Swiss Re Travel Directors and a Local Concierge, who will be available throughout the day to answer questions and make suggestions for your free time. In the evenings, come meet up with your fellow producers for an after-dinner drink or enjoy the cool night air and a cigar on the patio.

 

Check-in/Check-Out

The "official" check-in time at the Auberge Saint-Antoine is 4:00 PM. The Auberge will make every effort to accommodate early check-ins for those with earlier flights. In the event that your room is not ready when you arrive, the Auberge will gladly store your luggage and will direct you to the Spa facilities where you will have ample space to change if desired. The Swiss Re Corporate Solutions Hospitality Suite will be open to relax until your room becomes available.

On the day of departure, check-out time is 12:00 PM. Should you choose to extend your check-out time, any charge incurred would be considered a personal expense.

Passport Requirement

All persons traveling to Québec City will be required to present a valid passport at the airport checkpoint in order to travel. Please note: when completing your electronic registration form, you and your guest must list first, middle, and last name exactly as it appears on your passport.

Language

French is the official language of Québec but English is spoken at most hotels, restaurants and boutiques.

Time Zone

Québec City follows Eastern Standard Time (EST) and observes the same Daylight Saving Time (DST) as in the U.S.

Dress Code

Please refer to the following dress code suggestions during the program. If you have any questions, please consult with your Swiss Re Event Manager or Travel Directors.

It is recommended that you pack a light sweater or jacket for dinner events as evenings tend to be cooler, even in Summer. Québec is a walking city, so comfortable footwear is a must.

Business Meeting: Business Casual - Jeans Acceptable.

Optional Activities: Appropriate attire based on the chosen activity; please refer to Activities section for details.

Evening Events

Monday, June 10 - Welcome Reception: Casual – Dress Jeans, cropped pants, sandals, casually elegant Summer dresses are all acceptable.

Tuesday, June 11 - Dine Around: Dressy Casual – Dress denim acceptable; Jackets are not required. Most restaurants are within walking distance, comfortable shoes suggested.

Wednesday, June 12 - Night at a Sugar Shack: This evening will be spent in the middle of a maple forest, thus Jeans & Boots are the most fitting attire. Need more suggestions – check out Ashley's "Board" for ideas: here.

Thursday, June 13 - Final Night Gala: Formal Attire – Men: Dark Suit & Tie. Tuxedo is not required, but appropriate if desired. Women: A long evening dress, dressy suit or formal cocktail-length dress.

Airline Information

Swiss Re Corporate Solutions has partnered with Carlson–Wagonlit Travel to coordinate airline reservations for each attendee and their guest. Once your online travel registration form is complete, a CWT travel counselors will share a proposed itinerary for your review within 72 hours. You may always contact your Event Manager, Ashley Poe, to discuss your travel arrangements or any questions.

All flights are based on Producers Educational Conference program fare and guidelines.

Upon receipt of your completed registration form, we will do our best to accommodate your air requests. Please be aware that our airline carriers are pre-selected with non-refundable and non-transferable tickets, and may include travel on a connecting flight. We will always review your flight options with you prior to ticketing. Once your flight is arranged, any changes you make thereafter will be considered a personal expense.

If you are part of a frequent flyer program and would like us to add this for mileage credit, you will have the opportunity to include your membership identification number on you registration form.

If you would like to request an upgrade on your flight, please indicate this request when completing your online registration. Our Carlson–Wagonlit travel counselors will contact you directly to assist with your desired travel arrangements. Please be advised that upgrades are considered a personal expense and they will be able to accept credit card payment for the difference in cost.

Canada may not allow persons with DUI (driving under the influence of drugs or alcohol) convictions to enter their country. If you have a concern that this could affect you, please visit the Government of Canada website for additional detail.

Currency

Money in Canada is in dollars and cents, as in the United States. You'll want to check the current monetary exchange rate at the time of travel, but right now 1 Canadian dollar (CAD) equals approximately 0.75 USD. Canadian dollar amounts are often presented as C$ to distinguish it from other currencies denominated in dollars. Although USD is usually accepted, you can exchange it at any Canadian financial institution, where you will receive the prevailing exchange rate. You may notice a variance when making cash transactions in Canada as pennies are not provided as change. Purchases in cash will be rounded up or down to the nearest five-cent increment.

Most U.S. credit cards are accepted and will reflect the applicable exchange rate. Please note, American Express is accepted at the Auberge Saint-Antoine, but not at most institutions in Québec City.

Consumer Taxes

The goods and services tax (GST) is a 5% federal tax charged on most goods and services sold or provided in Canada. The province of Québec has combined their provincial sales tax of 9.975% with the GST to create a harmonized sales tax (HST) of almost 15%.

There is an additional Lodging Tax payable at 3.5% per night. This will only be applicable should you choose to extend your stay.

Gratuities

Swiss Re Corporate Solutions has covered gratuities for housekeeping, bellhops (upon arrival/departure) and serving staff at each dinner event. We understand you may have exceptional experiences throughout your stay and will likely dine on your own, and thus want to share some general guidelines. With very few exceptions, tips are not included in the final tabulation of restaurant bills. Tips are usually 15% of the total bill, excluding taxes. Cab drivers and bellhops are usually tipped at the customer's discretion.

Electricity

The plugs for personal appliances such as computers and hair dryers are generally the same as the U.S. The electrical current is 115/120 volts; 60 Hz.

Metric Conversion

Canada uses the metric system of measurement. Visitors will find gas and oil sold by liters (1 US gallon = 3.78 liters) and road speeds posted in kilometers per hour (1 mile = 1.6 kilometers)
